Simple Steps to Fix QuickBooks Error PS038
Step 1: Update QuickBooks Desktop
- Open QuickBooks Desktop
- Then go to Help > Update QuickBooks Desktop
- Then click on Update Now in the top right corner
- Click Get Updates
- Once the update is complete, close and reopens QuickBooks
Step 2: Send Payroll Data
After following step 1, give a try to send the payroll data and ensure that the problem is fixed or not.
To send the payroll data:
- Go to Employees
- Select My Payroll Service and then Send Usage Data
If it’s sent successfully, try to launch the payroll update again or if you are encountering the same problem, please follow the below steps to fix this problem.
Step 3: Verify and Rebuild the Company File
Verify Data
- Open QuickBooks Desktop
- Go to File > Utilities > Verify Data
- Click OK to close all open windows
- If QuickBooks doesn’t detect any problem with your data click OK
Rebuild Data
- Go to File > Utilities > Rebuild Data
- Click OK and then Save to create a backup
- Once the rebuild has completed click on View Results

Step 4: If, Paychecks are Stuck as Online to send
There are chances that your paychecks are stuck as online to send and that may be a cause for QuickBooks Error Code PS038.
To ensure about the paychecks follow the below steps:
- Go to Edit > Find
- Choose the Advanced tab
- From the filter select Detail Level and Summary only
- From the filter select Online Status and from the drop-down menu choose Online to Send
- Now click Find to see the paychecks
- Verify the data and stuck paychecks will appear

Step 5: If Payroll Error PS038 still Occurs after the Rebuild
If the same problem still exists, after rebuilding the data file. Please follow the below instructions.
- Go to Edit > Find
- Choose the Advanced tab
- From the filter select Detail Level and Summary only
- From the filter select Online Status and from the drop-down menu choose Online to Send
- Now click Find to see the paychecks
- Record the paycheck details and send to Excel and Save
- Open the first paycheck from the list
- Click Paycheck Detail
- Under Review Paycheck, in Earning Section enter the same earning item as the last earning item
- A Net Pay Locked message comes up. Click No to close the message.
- Select the Rate field of the new earning item
- Ensure the Tax and Net Pay did not change.
- Click OK
- Click Yes, If the Past Transaction message comes up
- Choose Save & Close
- Select Yes again to allow the strong>Recording Transaction strong>message
- Open the paycheck again and select Paycheck Details
- Delete the earning item that you have recently added in the earning section
- Ensure the Tax and Net Pay did not change and click Save & Close
Repeat the same for other paychecks that have Online to Send status. Then try to send the usage data again.
